MyVault User Guide

Scope: the current iOS version of MyVault. Some features may vary according to your Pro status, system permissions, or settings under Me.

1. About MyVault

MyVault is a local-first archive for real-world assets. Use it for possessions, collections, devices, documents, policies, and meaningful items. Each record can hold purchase details, photos, warranty information, storage location, expected lifetime, maintenance history, and stories—then surface portfolio structure, expiry items, and long-term usage cost.

2. Getting started

2.1 First launch

The welcome flow introduces asset records, photos, analysis, backup, import, and privacy. Read it page by page, or choose Skip or Get Started to open Home.

MyVault supports Simplified Chinese, English, and system language. You can later adjust the theme, currency, thousands separator, and haptic feedback under Me.

2.2 Recommended first setup

1. Choose your usual currency and language under Me.
2. Set up the categories, brands, purchase channels, and purchase cities you use most often.
3. If needed, enable Face ID, Touch ID, or a passcode under Security & Permissions.
4. Pro users can enable iCloud sync, Spaces, Scenes, and AI-assisted entry before organizing a larger collection.

2.3 Add your first asset

Tap the central Add button and choose Manual Entry. A name is required; adding a brand and category makes later filtering, reporting, and exploration more useful. You can then add price, purchase date, warranty, photos, and storage location.

3. Home: see the big picture

Home is the overview and analysis entry point rather than another asset list. It builds summary and analysis cards from saved data. Tap an item on a card to jump to Assets with the relevant filter applied.

• Portfolio overview: item count, total cost, current value, and usage cost.
• Time and filters: aggregate by year, date range, category, or status.
• Trends and allocation: observe changes in count, cost, and value, plus category distribution.
• Status and lifecycle: review active, gifted, lost, or depreciated items and their expected usage.
• Recent assets and warranty reminders: open an item directly to take action.

Analytics refresh when asset data changes. Missing prices, dates, or categories reduce the completeness of the relevant analysis.

4. Assets: record, find, and maintain items

4.1 Four ways to add an asset

4.2 Fields, editing, and maintenance

Core information includes name, brand, and category. More Details can hold purchase price, date, channel, city, status, depreciated value, warranty expiry, expected usage years, spaces, scenes, tags, description, and photos. Status can be Active, Gifted, Lost, or Depreciated; changing it records the relevant date.

From an asset detail page, you can update its status, depreciation, photos, stories, and maintenance records. A story is a dated note that also appears in Explore. Maintenance records can contain date, type, provider, cost, and notes.

4.3 AI and file import

Photo recognition and AI-assisted entry never bypass review. Confirm names, categories, brands, prices, and dates before saving—especially for blurred images or incomplete receipts. File import validates required fields, detects duplicates, and reports successful rows, failures, and reasons.

4.4 Browse, search, filter, sort, and batch actions

Choose Card, Grid, or Minimal view. Search matches asset names and other searchable data; filters narrow the list by status or category, while sort controls order and direction. With Pro batch actions enabled under Me, long-press an asset to select multiple items for editing, deletion, space assignment, or scene changes.

Deleting removes the local record from statistics and Explore, so check the selection and create a backup first when appropriate.

5. Explore: turn records into useful information

Explore contains six modules and supports grid or list presentation, module search, and recently opened entries. You can control selected module visibility under Me.

• Asset Audit: checks record completeness across names, categories, dates, brands, prices, channels, cities, photos, spaces, stories, tags, and warranties.
• Insights: deeper analysis of trends, lifecycle, categories, status, and purchase-city distribution.
• Spaces: place assets in a real hierarchy such as Home → Study → Cabinet. This is a Pro feature.
• Scenes: create cross-category collections such as “Photography gear” or “Moving checklist.”
• Story Memories: groups the dated stories you have already written; it does not generate memories automatically.
• Digital Vault: groups records such as IDs, cards, memberships, and insurance materials by category and expiry.

6. Me: preferences, data, and security

6.1 Preferences and master data

Choose language, theme, currency, thousands separator, and haptic feedback. Manage categories, brands, purchase channels, and cities from the relevant management areas. Keep names consistent before importing or creating many records to improve search and reporting.

6.2 Security, sync, backup, export, and diagnostics

Under Security & Permissions, enable biometric or passcode protection and review system permissions. iCloud sync keeps MyVault data in sync between your Apple devices when Pro is enabled, but it is not a replacement for independent backups.

Backup Center creates and restores local backups. Before restoring, create a current backup and confirm the source and version of the file. Data Export supports field selection, range, sorting, CSV or JSON format, and export history. Storage Management and Diagnostics help you distinguish regenerable cache from files you need to retain, and investigate import, sync, or storage problems.

7. Pro benefits

The purchase screen shows the currently available monthly, annual, and lifetime options. Prices, availability, renewals, and redemption terms are determined by the App Store purchase flow.

8. Data, security, and FAQ

Where is my data?

MyVault is local-first. With Pro iCloud sync enabled, data can sync between your Apple devices; otherwise it primarily remains on the device. Keep independent backups and readable exports for important records.

Why is a chart or Explore module empty?

You may have no matching assets or the relevant fields may be empty. For example, the city map needs purchase cities, warranty reminders need expiry dates, Story Memories need story entries, and Spaces and Scenes need to be enabled.

Why cannot I use photo recognition, import, or Spaces?

Check Pro eligibility first, then confirm the relevant setting under Me. Photo recognition also needs Camera or Photos permission; sync needs an available iCloud account and network connection.

How do I avoid duplicate imports or recover a deleted asset?

Use the import template and keep strict duplicate detection enabled. Deletion recovery depends on whether you have a backup from before the deletion, so back up or export important data before batch deletion, restore, or import-overwrite operations.

9. Tips for long-term use

1. Start broad, then add detail: first record names, categories, photos, and purchase dates; then fill in brands, prices, warranties, and stories.
2. Make locations searchable: build Space paths for stored items, receipts, devices, and collections.
3. Make reminders actionable: add warranty dates and expected usage years to high-value or easy-to-forget assets.
4. Review regularly: open Home and Asset Audit each month to handle missing information, upcoming expiries, and idle assets.
5. Make backup a habit: retain a local backup and a readable export before recovery or batch deletion.
